Behind the Scenes: How We Pack 200 Hampers in a Day

When a family receives a CRN food hamper at their door, they see a neatly packed box filled with groceries, fresh produce, and a handwritten note of encouragement. What they do not see is the remarkable chain of coordination, labour, and generosity that made that hamper possible. On our biggest packing days, our team assembles up to 200 hampers in a single day. It is a feat that requires military-grade logistics, an army of dedicated volunteers, and a supply chain built entirely on community trust. Here is how it all comes together.

Preparation begins days before packing day itself. Our operations team finalizes the hamper manifest, a detailed document that specifies the contents of each hamper based on family size, dietary restrictions, and cultural preferences. Simultaneously, our sourcing coordinator confirms deliveries from local grocers, food banks, and wholesale suppliers. Fresh produce arrives the morning of packing day to ensure maximum shelf life, while shelf-stable items like rice, pasta, canned goods, and cooking oils are pre-staged in the warehouse earlier in the week.

The Packing Day Workflow

Volunteers arrive in staggered shifts starting at 6:30 a.m. The first shift handles what we call the staging phase: unloading delivery trucks, breaking down bulk packaging, and organizing items into category stations arranged along an assembly line. Each station is clearly labelled and staffed by two to three volunteers who are responsible for a specific category, such as grains, proteins, canned vegetables, fresh fruit, or hygiene items. This assembly-line approach ensures consistency across all 200 hampers while keeping the process efficient and manageable.

By mid-morning, the packing line is in full motion. Volunteers move sturdy cardboard boxes down the line, stopping at each station to collect the designated items. A quality control team at the end of the line checks every hamper against the manifest, verifying contents, removing any damaged items, and adding the finishing touches: a handwritten note from a volunteer and an information card listing CRN's other programs and support resources. It is meticulous work, but our volunteers approach it with a level of care and pride that is genuinely inspiring to witness.

From Warehouse to Doorstep

Once packed and sealed, hampers are sorted by delivery zone and loaded into vehicles. Our delivery teams follow optimized routes mapped out by our logistics coordinator, ensuring that every hamper reaches its destination efficiently and on schedule. Volunteers who deliver hampers are trained to do so with warmth and discretion, understanding that receiving food assistance can be a vulnerable moment for many families. A kind word at the doorstep matters as much as the food inside the box.

By late afternoon, the warehouse is empty, the vehicles have returned, and 200 families across Durham Region and the GTA have groceries in their kitchens. The volunteers gather for a brief debrief, share feedback on what went well and what can be improved, and then head home tired but fulfilled. It is a long day, but every person who participates walks away knowing they played a direct role in feeding their neighbours.
